Executive Assistant Position
Start date: July 25, 2022
Salary range: $40,754 to $45,869

Villa Rosa is seeking an Executive Assistant to provide administrative support to the Executive Director, Corporation, Board of Directors, board sub-committees, Finance Manager and Coordinator of Volunteers. Other responsibilities include Donor management, Mailouts, creation, publishing and distribution of the Annual Report, minor Computer Technical Support, Website management and social media presence, Personnel and Human Resources, Provincial Licensing documentation, managing telephone and alarm systems, Resident and baby documentation and statistics.

 

JOB REQUIREMENTS

  • excellent professional oral and written communication skills are a must, along with proficiency in basic computer software, including, but not limited to Microsoft Office, and donor management software

  • experience within a nonprofit agency

  • adherence to the organization’s code of ethics and confidentiality policies

  • Trustworthiness and sensitivity

  • Proficient in using virtual conference platforms, including Microsoft Teams and Zoom

 

SKILLS AND COMPETENCIES:

  • High degree of attention to detail, adaptability, accuracy and confidentiality

  • Excellent verbal and written communication skills and public relations

  • Strategic thinking and creative problem solving

  • Capacity to be self-motivated and work both independently and as a collaborative team

 

QUALIFICATIONS:

  • Post-secondary certificate or diploma in related field (e.g. office or business administration)

  • 5 years of administrative and operational experience at a senior management level

  • Preferred experience in the non-profit sector supporting a Board of Directors, including knowledge of legal requirements for non-profit organizations, registered charities, and board of directors’ governance models

  • Intermediate to advanced computer skills with MS Office and Excel

  • Proficiency in accounting, website design and management, and social media marketing

  • Fully vaccinated against COVID-19
